Booking Terms and Conditions

This page (together with any documents referred to on it or provided to you directly) sets out the terms and conditions under which we provide the courses (“courses”) listed on our website  Our Programmes > The Future is Green (“site”).

Please read these terms and conditions carefully before accepting your place on these courses. You should understand that by booking any of our courses, you agree to be bound by these terms and conditions.  

Please keep a note of these terms and conditions and course information pages for future reference.

Your Booking Requirements

As a requirement of our funder, you will need to complete paperwork and eligibility checks before we can confirm your fully funded place on the course. This includes completing an Individual Registration Form and providing ID to confirm your right to live and work in the UK. If you do not complete these requirements your application for the course may be rejected.

We will send all relevant information primarily via email to the email address provided on the booking form. If alternative details are received after the booking form has been submitted, they will supersede the original details and all future correspondence will be sent to the new address. 

The Course and Materials

Our courses may have elements that are online only, and some may have face-to-face elements. These courses do not have any academic credit or formal University of Exeter award attached to them or any accredited CPD (Continuing Professional Development), however you may receive a certificate of completion. 

You will not be a registered student of the University of Exeter, however you may be provided with access to an online learning portal (the University currently uses its own platform called Learn.Exeter).  You will not have access to any other student support service offered to registered students at the University of Exeter or a student card.  

Course participants must comply with the Code of Conduct and any end user terms contained within the online learning portal, and/or set out in sections below. The University may remove a participant from a course if the behaviour or demeanour of the participant is considered unacceptable. Under these circumstances the participant should not expect any reimbursement for any losses they may have incurred. 

The University prohibits the use of AI bots or other artificial intelligence / computer programmes to join or record live webinars (unless they have been pre-approved in writing). 

It is your responsibility to ensure you have received and reviewed joining instructions prior to the date of the course and to contact the University to arrange for them to be reissued in the event of non-arrival by the start date of the course. 

Online learning resources and course materials will be available (if applicable to your course) on your account for a limited period only (usually 2-4 weeks after the end of the course). 

It is your responsibility to check that the computer you plan to use to access an online course is compatible with the minimum specification requirement for accessing the course materials and websites. Learn.Exeter uses Moodle 4.1 which is compatible with any standards-compliant web browser. Moodle is regularly tested with the following browsers: 

  • Desktop: Chrome / Firefox / Safari / Edge  (NOT Internet Explorer) 
  • Mobile: MobileSafari / Google Chrome 

For the best experience and optimum security on Learn.Exeter, we recommend that you keep your browser up to date and have access to an authenticator app to set up your account. 

You confirm that the University will not be held responsible for any technical problems encountered following the purchase of a course granting you access to such course materials and/or websites. The University cannot guarantee uninterrupted availability of online learning resources.  In particular, the University may suspend access to the website or online resources for the purpose of scheduled or emergency maintenance, repairs and upgrades, to improve performance and functionality or to reflect changes in relevant laws and regulatory requirements.  The University will however, endeavour to inform you of such suspension, keep such interruption of online services to a minimum and out of normal business hours where possible. 

Any additional mandatory course materials that cannot be provided online will be listed on the course advertisement.  We advise against purchasing these in advance of the course being confirmed as running, as any associated costs are not the responsibility of the University and are purchased at your own risk should the course be cancelled. 

All our courses are delivered in English, except where otherwise clearly stated, and all administrative support is only provided in English.  Participants whose first language is not English should feel competent and comfortable using written English. If a course has any mandatory entry requirements or suggested prior knowledge, we will set this out on the course site. 

Any information or content provided on the course is given on an “as is” basis, and no warranty (i.e. promise) is given as to quality, accuracy, completeness or fitness for a particular purpose. Case studies and examples may be limited to the UK. The University is providing educational training, and not professional advice which can be relied upon. 

Copyright & Intellectual Property

The copyright and other intellectual property rights in relation to course materials remain the exclusive property of the University or our licensors. 

In attending the course, you agree that only you will use the course materials for the purpose of undertaking the course. You will not copy or permit to be copied any of the course materials for any other purpose or person, nor disclose or permit the disclosure, sell or otherwise pass on those materials to others, unless agreed otherwise in writing with the University. Certain materials (including all recordings) will not be available for download or printing, instead you may view only for a limited period of time. You may take your own notes, but you must not record any of the webinars / teaching sessions or introduce any AI bots or other artificial intelligence / computer programmes to join or record live webinars. 

As a participant on the course you are granted a non-transferrable, non-exclusive licence (i.e. right) to use the course materials solely for the purpose of receiving and using the course in your personal capacity and/or your employer’s business including putting into practice the knowledge passed to you by the University. You and your employer may not trade in any such knowledge nor redeliver such training internally or externally whether for commercial reward or otherwise, and shall have no rights to commercially exploit any course materials. You may not use the University’s name or logo unless authorised by the University in writing. 

The University may suspend your access to materials at any time if it suspects or is aware that you have broken the terms set out in this contract. 

The University gives no promises nor makes any representations in relation to any IP provided or created in the course. 

You confirm that you will reimburse the University in respect of any infringement of any such IP rights arising as a result of your mis-use of the University’s IP rights and requirements. 

Usernames and passwords are for personal use only and should not be passed to anyone else. You are required to protect your log-in information at all times, as content stored on the University online learning portal is protected by the same IP rights as set out above. 

Photography, Filming & Recording Consent

Our courses and programmes may include filming, photography or recording of live remote sessions. These materials may be made available within online course resources or provided to the relevant cohort group for a limited time only for review or catch up later. Relevant University staff will also have access to manage the recording. Recordings will not be accessible outside of this group or to general members of the public.

The University will own the copyright and intellectual property in the recording itself (sound and video), but you will retain your personal performance rights and you (or your employer) will retain ownership of copyright in any accompanying slide pack you may provide during the session (“Slide Pack”).

The University intends (but is not obliged) to use for the purposes outlined above any video and/or sound recordings, images, and any accompanying Slide Pack that feature you or which you provide for the duration of the programme and the participants of that cohort, after which access will cease. The University may retain the recording for up to 6 years after the programme ends if required for legal, accounting or reporting requirements in line with its retention policy.

By accepting these terms and conditions, you:

  • Agree to being photographed or recorded as a sound recording and/or in video format as part of the course, and for those to be used and stored as set out above
  • Give permission to the University of Exeter to use any rights that you retain in your performance for the purpose of the course and for those to be used and stored as set out above
  • Understand that any copyright or other intellectual property which protects the sound recording/ video/photograph itself, will belong to the University of Exeter and you give permission for the University of Exeter to use any Slide Pack shown
  • Confirm that you understand that you can withdraw your consent at any time by contacting the University of Exeter at Green.Skills@exeter.ac.uk, and that the recordings will not be used after that time

General Data Protection Regulation 

All personal information obtained by the University both from yourself and other sources will be used to process your booking on the course(s), and to enable you to access materials and online resources for your course. If the University reasonably believes it has reason to do so, the University may pass this information as appropriate to other outside organisations, including the police, government, and other institutions in order to prevent or detect fraud, or any other unlawful activity. The University may ask you for feedback, to be used internally to consider changes to the course or for external testimonials. 

The information you provide to The Future is Green project is a mandatory requirement of the support you receive as part of this project. Data will be shared with the Lead Partner (The Cornwall College Group), Cornwall Council, Ministry of Housing, Communities and Local Government (MHCLG), and their data processors/project evaluators. Your personal data will be anonymised for reporting purposes. All documentary evidence will be retained for seven years (until March 31st 2038) following project completion according to SPF requirements. Data will never be used or shared for commercial or marketing purposes. All data, whether electronic or hard copy, will always be stored securely and nobody will have access to it who shouldn’t.

Assessment & Certificates

You may request a pdf certificate of completion after successful completion of the course (by email). The name of the student given on the booking form will be the one that appears on the certificate. 

Some courses will have assessment criteria meaning you may either pass or fail the course. We will tell you what the assessment criteria is (if any) at the beginning of the course. The certificate of completion is NOT a qualification.  

Changes to the Course

Minor changes: We may change the course: 

(a) to reflect changes in relevant laws and regulatory requirements (for example, a minor change to the content of the course); 

(b) to reflect best practice and up-to-date real world examples; or 

(c) to implement minor technical adjustments and improvements, for example to address a security threat to the online delivery of the course.  

These changes should not affect your participation on the course. 

Major changes: We do not anticipate having to make any major changes to these terms or the course, but if we do so we will notify you and you may then contact us to end the contract before the changes take effect and receive a refund for any courses paid for but not received. 

Our Liability

While the University aims to ensure that the information on the University website and online portal is correct, we do not promise the accuracy and completeness of the course material on the site or in any published brochures or prospectuses relating to the course(s). We may make changes to the material on the site at any time without notice. 

The University is not responsible for any problems or technical malfunction of any telephone network or lines, computer online systems, servers or providers, computer equipment or software, failure of any email or online application to be received on account of technical problems or traffic congestion on the internet, telephone lines or at any website, or any combination of these, including any injury or damage to a participant’s or other customer’s or any other person’s computer or mobile telephone related to or resulting from participation or downloading any materials. 

We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors; for fraud or fraudulent misrepresentation; and if you are a consumer (i.e. you are not acting as part of a business), for breach of/breaking your legal rights in relation to the course including the right to receive services supplied with reasonable skill and care. 

Complaints

The University makes every effort to ensure you enjoy your course of study. In the unlikely event that you have a complaint about any aspect of the University or your course, this should be made in the first instance to the Future is Green team via green.skills@exeter.ac.uk

Code of Conduct
  1. **Respectful Communication**: Treat all members of the eLearning community with respect and courtesy. Refrain from engaging in any form of harassment, discrimination, or disrespectful behaviour based on race, ethnicity, gender, religion, sexual orientation, disability, or any other characteristic.
  2. **Intellectual Integrity**: Uphold academic honesty and integrity. Do not engage in plagiarism, cheating, or any form of academic dishonesty. Properly cite sources and give credit to the original authors when referencing their work.
  3. **Constructive Collaboration**: Foster an environment of constructive collaboration and teamwork. Respect the opinions and contributions of others and engage in discussions with an open mind. Offer constructive feedback and support to fellow learners.
  4. **Privacy and Confidentiality**: Respect the privacy and confidentiality of others. Do not share personal information of your own nor others, nor content belonging to other users without their explicit consent. Keep all discussions within the platform confidential unless specified otherwise.
  5. **Appropriate Content**: Ensure that all content shared or posted is appropriate and relevant to the learning objectives. Refrain from sharing offensive, inappropriate, or unrelated material that may disrupt the learning experience of others.
  6. **Professional Conduct**: Maintain professional conduct at all times. Avoid engaging in disruptive behaviour, trolling, spamming, or any other activity that may detract from the learning environment.
  7. **Accessibility and Inclusivity**: Strive to create an inclusive learning environment that is accessible to all individuals, regardless of their background or abilities. Use inclusive language and consider the diverse needs of learners when creating content or engaging in discussions.
  8. **Responsible Use of Resources**: Use course resources responsibly and ethically. Do not engage in any activities that may compromise the security or functionality of the platform, including hacking, distributing malware, or attempting unauthorized access.
  9. **Reporting Violations**: Report any violations of this code of conduct to the course administrators or promptly. Provide detailed information and evidence to support your report, and cooperate with any investigations or actions taken by the platform team.
  10. **Consequences of Violations**: Violations of this code of conduct may result in disciplinary action, including but not limited to warnings, temporary suspension, or permanent expulsion from the course. The severity of the action will depend on the nature and severity of the violation, as determined by the platform administrators and course leaders.
